Job Description & Requirements

Irwin Guides is seeking to fill the position of Sales & Operations Specialist.

This position will be responsible for assisting the Irwin Guides GM & Operations Coordinator with day-to-day sales & operations including management of the guide team, trip scheduling, marketing & advertising, selling guided activities, completing and filing paperwork, interacting with guests face-to-face or via phone/email, and assisting with walk-in traffic.

 

A strong candidate will have knowledge of the outdoor industry and local activities/areas, at least 3 years’ of experience in an administrative role, effective oral and written communication, is detail-oriented, sensitive to deadlines, responsive to delegation, and comfortable working independently and in a fast paced team environment. During the operational seasons this position will be required to work some early mornings and late afternoons, at least one weekend day per week, and some holidays as necessary. Job Description:

Roles and Responsibilities

 

=     Day Activity Sales, Bookings and Logistics 

o  Assist with all day activity bookings for summer and winter: communication, relaying logistics, personal data, booking calendar, guide staffing, taking payment, “thank you” emails etc.

o  Send out daily logistics emails with guide assignments and guest personal data 

o  Sell photographer days and provide photographs to all guests 

o  Sell add-ons such as catered lunches, additional guided days, ski atlas etc. 

o  Assist with catering logistics for all day activities

o   Maintain guest facing appearance of IG reception area

 

=     Guide Operations

o  Morning set up for IG day guests, greeting, waivers, beverages, etc.

o  Select guide staff to work day trips, courses, etc. and communicate to all necessary staff

o  Manage emergencies by helping communicate between guide staff and outside resources

§ Monitor radio on operational days at Irwin Cat Skiing

o  Support operational logistics as appropriate and necessary

 

=     Administrative

o  Work IG front desk and schedule to have presence at all times when needed

o  Answer phones and field Irwin sales calls

o  Respond to walk in traffic in IG reception area including walk in sales, visitors to the Irwin Building, deliveries and receptionist duties related to others working in the Irwin Building

o  Maintain systems, standards and organization for the “front of the house” 

o  Assist with creation & management of CRM

o  General accounting including tips, bank deposits, petty cash

=     Sales and Marketing

o  With IG General Manager, coordinate Irwin Guides Sales & Marketing including print and online media, social media, events and other advertising outlets

o  Communicate with clients regarding day activities

o  Help create, advertise and sell professional training programs (avalanche courses, wilderness medicine, Youth Leadership Program, corporate retreats, etc.)

 

=     Website, Newsletters, Blog, Social Media

o  Manage Irwin Guides website 

o  Implement blog, newsletter, e-blast strategy and schedules

o  Oversee and help provide content for social media

 

=     Retail 

o  Familiarity with POS and retail sales to assist retail customers, daily closeouts

 

 

 

Qualifications

 

  • Knowledge of the outdoor industry and local activities/locations
  • At least 3 years of experience in an administrative role
  • Effective oral & written communication skills
  • Must be detail oriented, sensitive to deadlines and responsive to delegation
  • Comfortable working independently in a fast-paced team environment

 

Work Requirements

  • Must live in or relocate to the valley and be able to work at our headquartered location
  • During the operational seasons this position will be required to work some early mornings and/or late afternoons, at least one weekend day per week and some holidays as necessary
  • Must be able to focus on computer related tasks for lengthy periods of time
