Job Description & Requirements

 

The Purchasing Coordinator assists the SCM team with all purchasing functions. Including but not limited to purchase order management, inventory management, warehouse allocation and shipping management, vendor communication and performance tracking, system documentation and report creation.

Essential Functions:

  1. Purchase Order Management
  • PO placement in ERP.
  • PO management and delivery date maintenance throughout the production lifecycle.
  • Pricing discrepancy tracking and correction.
  • Prepayment tracking and application.
  • Calendar creation and management for key purchasing activities (greige booking, seasonal product forecasting, obtaining product packaging details, etc).

2. Inventory Management

  • Create inventory reports using cubes and other company wide available tools.
  • Audit and report back order.
  • Monitor the flow of inventory through staging/inspection warehouses to finished goods warehouses and coordinate the processing of high priority items.
  • Support weekly inventory allocation to multiple sales channels including, North America Wholesale, North America Direct to Consumer and Europe Wholesale.

3. Production/Inventory Allocation

  • Assists in the analysis and execution of production allocation to regional warehouses.
  • Transfer Order creation, placement in ERP, communication to vendor and receipt date management in ERP throughout the shipment cycle.
  • Air to Ocean freight spend tracking and reconciliation.
  • Warehouse/3PL receipt discrepancy tracking and correction.
  • Vendor credit tracking due to mis-shipments.

4. Vendor Communication and Performance Tracking

  • On Time Delivery tracking and communication with vendor.
  • Support in documenting and following up on vendor specific corrective actions.
  • Vendor capacity monitoring.
  • Vendor production schedule change tracking and improvement coordination.

5. Documentation

  • Supports the department in documenting processes/activities in approved and standard formatting.
  • Leads in obtaining Product Packaging Details (product weights and dimensions) from vendor partners.

6. Responsible for supporting or directly managing other assigned activities as necessary:

  • Supply Chain reporting activities.
  • Event Coordination (vendor meetings/visits)
  • Research projects (Labor trends, materials cost trends, historical spend within the supply chain, etc.)
  • Coordinate product rework activities.

 

Education:

  • Required: Associates Degree.
  • Preferred: Bachelor's degree in Business, Logistics or Operations Management or Bachelor's of Science.

Work Experience:

  • Required: Knowledge in one or more of the following fields: global logistics, purchasing and/or planning, manufacturing and/or quality assurance.
  • Preferred: 1 year in a Production, Product Planning, or Manufacturing position with some vendor management experience.

Skills and general experience:

  • High level of business computer skills is mandatory, including Excel, Word and PowerPoint as well as ERP/MRP systems. Excellent time management, communication (verbal & written), project management and organizational skills are essential. Experience in purchasing, planning, and troubleshooting is preferred. Experience working with global suppliers is a plus.
